A guide to the import feature

This is a guide showing how to import data into the CRM. We recommend that you follow the guide step by step to minimize the chance of errors occurring.

To access the import module, click [Settings] in the menu, then Import data.

Preparation

Check the checkboxes for the files you want to import. Upload the files that you have prepared. Either by dragging the file from a folder or by clicking "Select file" and finding the file in your saved area.

Select a unique identifier between files

Select a column that will link the data in the different files. This is what we have previously called Unique ID. An example of this would be organization number. This would be the the column that links the customer with contact persons.

Uploading a single file

If you only upload a single file with customers and not contacts, you will not be asked to link the columns.

Match the fields on your uploaded file with the fields in the CRM

Match the columns from the file to the different fields in the CRM.

If you have any columns in your Excel file that you do not want to import into AIFlow, you can click the trash can to the far right. Then the line will turn gray and the system will skip this column during import and it will not be loaded.

πŸ’‘ Tip: There will most likely be a column (Unique ID) that cannot be linked to a field when importing People. This is because AIFlow requires a column with Unique ID to connect the different files. You have already done this in step 3 - so this column is no longer relevant for the import of people.

Press the trash can to ignore this field when importing People

Connect rows

Statuses, Categories, Assigned, Creator, and Type - requires you to relate them to existing statuses, categories, or people. If these are not already created in the system, you can create statuses and categories when you import. You do this by selecting Create as new: in the drop-down menu.

Rows such as Assigned and Creator are associated with users in the system. These users must be registered before they can be associated with a customer card.

"Customer Type" registers whether the customer card should be registered as a business customer or a private customer.

πŸ’‘ Tip: You have the option to choose who should be the creator of a contact. This can be used later to define who can see these contacts under the role settings.

Finished

Completed import

When all fields are connected, you can click Import.

If the import is successful, a green pop-up window will appear with Import completed.

Unsuccessful import

If the import is not successful, an error message will appear.

This means that there is an error in the file you are trying to import.

Download

If you click Download, you will get a JSON file with the various links you have made during the import process.

Import history

After an import is completed, it will be added to your import history. To find the import overview, tap [Settings] on the main side menu, then Import history.

πŸ’‘ Tip: You can undo an import. You will then remove all data that was entered at this time. When you undo an import, all data will be deleted from the selected import.

Where you find the information in the CRM

The contact information you have imported will be visible under the People tab on the customer card.
