A guide to the Calendar module

To find the calendar, tap [Calendar] in the left-hand menu.

The calendar gives you an overview of your own and other users' scheduled events.

Events

The events in the calendar will be visible in the colours that you choose when you create the different events. Events that are clear in colour mean that they have not been completed, while transparent events mean that they have been completed or cancelled.

If a note has been added to the event, it will appear if you hover your mouse over the event. This can provide a good overview of what the event is about.

If you want to change an event, tap on the event, change what you want before tapping Update to save the changes. To complete or cancel an event, tap on the event before tapping Mark as completed or Cancel event. If you want to delete an event, tap the Trash can.

Settings

Tap the cogwheel on the right-hand side to access the calendar settings.

View mode. You can choose which view mode you want the calendar to be in. You can choose between day, week and month.

At the very bottom of the settings, you can choose whether you want to show weekends in the calendar as well. If you do, tick the Show weekend checkbox.

Event types. You can choose which event types are visible in your calendar. If you want to see all events in your system, tick All. If you only want to see selected events, tick the relevant events.

Viewing colleagues’ calendars

Here you choose which calendar you want to see. You can choose to view your own calendar, one or more colleagues' calendars or everyone's calendar. Tick the checkbox for the calendar(s) you want to see.

💡 Tip: If you want to schedule a meeting for yourself and a colleague, for example, this is a great feature to use. select both your own calendar and your colleague's to see when you're free at the same time.

Completed and cancelled events

In the calendar, you can choose what is visible, for example only show cancelled and completed events.

Personalise your calendar

The calendar can also be used as a resource planner providing an overview of all users' scheduled events. You get a quick overview of who is free and who is busy at a given time. When you have an overview of all your colleagues' calendars, you can easily plan, meetings and events for your organisation.

There are also several options for personalising the calendar so that the information you want is easily accessible.

💡 Tip: The calendar settings that you set are only for your specific user. Each user in your organisation can have their own personal calendar settings.

Personalise your calendar

View mode

Choose whether you want day, week or month view mode. You can also choose whether you want to see weekend or not.

Event types

You can choose whether you want to see all event types registered in your system or only some of them.

Hosts

If you only want to see your own calendar, tick your own name under Hosts. With this function, you can also view the calendars of all your colleagues. You can simply tick the calendar you want to see. You can also tick to see all, if you want a complete picture of all users in the system.

Cancelled and completed events

In the calendar, you can choose to show, hide, or only show cancelled and completed events. If you choose to show completed and cancelled events, they will be transparent in colour.

If you choose to hide the completed and cancelled events, they will no longer be visible in the calendar when they are marked as completed or cancelled.

You can also choose to show only completed and cancelled events, in which case all ongoing events will no longer be visible.

💡 Tip: Even if an event disappears from the calendar when you hide the events, you will still be able to find them again on the customer card of the customers who were associated with the event.

Create a new event

You can name and colour the events in your calendar yourself. This way, you can quickly see at a glance what needs to be done during the day, week and month.

When you create an event, you select the type of event. You also select the date and time of the event.

💡 Tip: An event can take place over several days.

You can also create a short description of the incident if you wish. You can choose to link the event to an organisation or you can choose not to. If you link the event to a company, you can also select participants. To be able to select participants, they must be registered on the customer card of the customer in question. The customer will not be notified if you select participants. This is internal information only.

💡 Tip: For example, if you add a meeting with a customer to your calendar, it's a good idea to add participants so that you can easily (without going into the customer card) see who will be attending the meeting.

When you create a new event, you automatically become the host of the event. You can add as many of your colleagues to the event as you wish, if there are more people participating.

If you create an event for one of your colleagues, you can remove yourself as a host.

If you have notes for the event, these can also be added when the event is created.

The note will appear in your calendar when you hover your mouse over the event and can give you a good overview of what the event is about.

Custom fields

With custom fields on events in the calendar, you can choose from 16 different fields to add to an event. This means you can add exactly the information that is important to you. You set up the fields that will make your day more organised and you don't have to search for information, it's easily accessible - directly in your calendar.

💡 Tip: If you need an extra comment field, you can add a text box.

If you want to add a rating to the event, you can add 5 stars to rate the event.

How to work systematically with colleagues. You can view all your colleagues' calendars directly in the system. For example, if you need to plan a meeting with one or more colleagues, you can easily add the relevant people's calendars, and you will quickly and easily get an overview of when you and your colleagues are free.

If you also set up events that are intended for collaboration, you and your colleagues will easily see from the colour of the event that this is an internal appointment or meeting, precisely because it stands out in your calendar.
