A workflow allows you to define the individual stages your tasks must go through before they are completed. When you first access your system the default workflow is automatically created with the steps:
Not started
In process
On hold
Done.
This is your default workflow.
You can choose whether you want to use this workflow or create your own. Once you have created a workflow, assign a step to your tasks.
Create a new workflow
Tap [Settings] on the main menu, then Workflows, which can be found under Tasks. Then tap + New workflow which is the blue button in the right corner.
This pop-up window will appear, where you can give the new workflow a name and description. Click Save to create.
Your new workflow will then be added to the overview.
If you want this to be your default workflow, you must first add the desired steps to your flow.
๐ก Tip: There is no limit to the number of workflows you can create.
Once you have created a workflow, you can add steps to the workflow.
Tap New step.
Enter the title you want for the step.
Choose between 4 different phases in the drop-down menu:
Not started
Started
Canceled
Finished.
Choose a color for the step. This color will be visible in the task overview.
Press Save to create the step.
The phases you can choose from define where the step will be placed in your workflow.
Not started > means that the step is placed first in your workflow, and tasks in these steps are not started.
Started > will be placed after Not started in your workflow. Tasks that you move to this step are started and in progress.
Canceled > means that the tasks will not be completed and have been interrupted for some reason.
Complete > will be the last phase in the workflow. Tasks that have been moved here are finished and completed.
๐ก Tip: There is no limit to the number of steps you can add to a workflow.
You can have multiple steps with the same phase in each workflow.
Change a workflow
Click the Edit button with a pencil to the right.
Here you can change the name, description of the workflow and select the default workflow. Click Save.
If you create a new task, you will now see the new workflow as the new steps.
Change a step in a workflow
To change a step in a workflow, tap the Pencil button on the step you want to change. You can then change the title, phase and color of the step. Tap Save to save the changes.
Delete a workflow
To delete a workflow, tap the button with the three dots (next to Change), then tap Delete.
To delete a workflow, you must first move the tasks to a new workflow.
You can then choose which of your workflows you want to move it to. You can also choose what each individual step in the workflow should be moved to.
Delete a step in a workflow
To delete a step in a workflow, tap the Pencil button on the step you want to delete. Then tap the Trash can.
Delete the step by tapping Yes.
Before deleting the step, you can also move tasks registered with this step to another step. Tap the step you want to assign the relevant tasks to in the drop-down menu.
Tap Yes to delete the step.
